Supporting programme: everything that happens at the fair besides the stands

The supporting programme covers all the events of a fair alongside the exhibition itself: talks, panel discussions, forums, stage shows, guided tours, award ceremonies and networking events.

Definition

The supporting programme is put together by the organiser, by partners such as associations and trade media, and sometimes by exhibitors. It takes place on stages in the halls, in congress rooms, in special shows or at evening events. The programme is published on the fair's website and in the show app. The scope ranges from a few talks to several parallel stages.

For visitors it is a reason to come to the fair or stay longer. For organisers it is a way to set the industry's agenda. Many programme items are open to ticket holders, while individual congresses cost extra.

What it means for exhibitors

For exhibitors, the supporting programme offers additional visibility. Many organisers accept proposals for talks or panellists, often with deadlines well before the show. A talk on a hall stage reaches people who would not otherwise have visited your stand (booth) and presents your specialists as experts.

Use the programme for your own planning too. Schedule activities on your stand so that they do not clash with major programme items, and make use of the time after big talks, when many visitors move through the halls again. The programme is worth it as a listener too, because talks show which topics concern customers and competitors.

If someone from your team speaks on a panel or receives an award, it belongs in your communication, with photos and a short clip from the appearance.

In practice

We record a talk by your team on one of the organiser's stages if the organiser agrees. We check in advance whether we can take the sound from the stage system and where we may set up the cameras. For longer programme items we work with several cameras and, depending on your needs, deliver the full recording and short excerpts for social media. Talks on your own stand give you more flexibility, because only your stand area is involved. Subtitles in English, German, Arabic or Persian make the recording usable for international customers too.

Often, yes. Organisers usually accept topic proposals through a call with a deadline. You find the details in the exhibitor portal or from the fair's programme team.

Can I have a talk on the organiser's stage filmed?

That requires the organiser's approval. Clarify it together with the talk slot and ask about a sound feed.
