A trade fair press conference is an announced appointment at which a company presents new products, figures or strategies to journalists. It takes place on the company's own stand or in rooms provided by the organiser.
Press conferences are common at large trade fairs, especially for new products, company results or strategic announcements. They take place either on the stand (booth), often on a small stage or in a separate area, or in conference rooms that many organisers offer in the press centre.
The running order is usually short: welcome, one or more presentations, possibly a product reveal, questions from journalists and time for one-to-one interviews. Whether and when an appointment appears in the fair's official press calendar is decided by the organiser's press office.
A press conference is only worthwhile if you have real news. Journalists receive many invitations at trade fairs and choose carefully. A clearly formulated story, knowledgeable speakers and good material increase the chance that they come and report.
Plan timing and location with the fair's schedule in mind. Clashes with appointments of major competitors or central programme items at the fair cost attention. Invite early and send a short reminder just before.
Prepare a press kit, digital and printed if needed, with press release, background and images. Make sure sound, light and screens work, and plan a rehearsal. Also consider how to reach journalists who cannot attend. A recording of the presentation, selected images and a short summary sent straight after the event extend the impact. Name a fixed contact person for follow-up questions.
