Press centre: the journalists' workplace at the fair

The press centre is the area of a fair where accredited journalists work, get information and attend press conferences. Exhibitors can usually place press material there, on site or digitally.

Definition

In the press centre journalists find workspaces, internet access, rooms for press conferences and contacts from the organiser's press office. Access is usually limited to accredited media representatives. Many organisers also publish their own press releases, figures about the fair and pictures there. Before and during the show, the press office is the first point of contact for media enquiries.

Many fairs add a digital press area to the on-site press centre. Exhibitors upload press releases, photos and contacts there, and editors can access the material before, during and after the show. Where printed press kits used to be laid out, today it is mostly files or links.

What it means for exhibitors

For exhibitors, the press centre is where journalists look for news. Prepare your press material before the show: a short press release on new products, contacts with phone numbers, hall and stand (booth) number, and print-quality photos with captions and a usage note.

Check in the exhibitor portal how material is submitted, which formats are allowed and by when. Rooms for press conferences are usually booked through the organiser, often well in advance. A clear headline and a short summary help your release stand out in the digital press area. Name contacts who can be reached by phone during the show.

Editors need good pictures fast. Product photos and portraits of spokespeople can be produced in advance. Current pictures of the stand, of handovers or demonstrations only come about on the show day and then have to be supplied quickly.

In practice

We usually deliver the first photos from the show day on the same day. That lets you add current pictures to the digital press area and your press release while the story is fresh. For editors, clear motifs work best: product, spokesperson, handover and the stand with visitors. It is best to agree captions and the names of the people shown directly with us.
