Accreditation is approval by the organiser that gives a person access to the fair with a particular status. The most common form is press accreditation for journalists.
The organiser exercises the house rules at the venue and decides who may enter with which pass. Accreditation is mainly granted to journalists who can prove their work, for example with a press card or an assignment from an editorial office. Some fairs also accredit bloggers and influencers according to their own criteria.
Accreditation is usually done online before the show. After a check, the person receives a pass, which is often personalised and not transferable. Each organiser decides which proof it requires. Trade visitors, by contrast, usually go through a simple registration.
The important point for exhibitors: a photographer or videographer working on your behalf is not a journalist. Press accreditation is meant for editorial coverage and is not the right route for a commissioned crew. Anyone who uses it anyway risks trouble with the organiser.
The usual route is the exhibitor pass, which you order for your team through the exhibitor portal. Some fairs have separate passes for service providers or for build-up and dismantling days. The exhibitor manual states which applies. Order the passes early, because personalised passes need the right names. Additional orders are often possible but take time.
Press accreditation still concerns you, if indirectly. Accredited journalists visit stands, press conferences and the press centre. With good press material and clear contacts on your stand (booth), you make their work easy.
After booking we give you the names of our team so that you can order the passes in the portal in good time. Personalised passes must match these names exactly. On the show day we carry the pass and an ID card or passport. If the crew arrives before opening, we check with you whether the pass is valid at that time. Also plan a contact person who welcomes the crew at the stand.
The pass controls access, not automatically every shot. The organiser's stages, the press centre or other stands often need separate permission. All the details are in the guide Photographer accreditation at fairs.
