Hybrid fair: an on-site show with digital reach

A hybrid fair combines the on-site event with digital formats such as live streams, online profiles and virtual meetings. This lets people take part who do not travel to the show.

Definition

At a hybrid fair, the show takes place in the halls as usual. In addition, the organiser provides a digital platform, for example with live streams and recordings of talks, digital exhibitor profiles, product pages, chat and video meetings or matchmaking.

How extensive the digital part is varies a great deal. At some fairs it is an online programme of stage talks, at others a platform of its own that is available before, during and after the show. The format has spread mainly since 2020. The terms hybrid fair and digital extension are not used consistently.

What it means for exhibitors

For exhibitors, a hybrid fair extends reach beyond the visitors in the hall. Customers, partners and colleagues who do not travel can see your new products online. But that takes content: a well-maintained exhibitor profile, product pictures, short videos and, ideally, posts from the show as it happens.

Check which services are included in your stand (booth) package and what costs extra, such as live-streamed talks or highlighted profiles. Also clarify formats and deadlines for uploads and decide who on your team looks after the platform during the show.

Your own channels matter just as much as the organiser's platform. People who are not on site often follow you on LinkedIn, by newsletter or on your website. The faster material from the show is available, the more they get out of it. Posts with subtitles are understood even without sound.

In practice
