Exhibitor pass: access for your stand staff

An exhibitor pass is the admission ticket for an exhibitor's staff. It gives access to the fairground during the show and usually also during build-up and dismantling.

Definition

An exhibitor pass identifies a person as working for an exhibitor. It is valid for the fairground and the halls, often before the doors open to visitors and for longer afterwards. Most fairs now issue it as a personalised digital ticket.

At many fairs, the number of passes an exhibitor receives depends on the stand size. Additional passes can usually be ordered for a fee. There are often separate passes for build-up and dismantling and for service providers. The types available and how to order them are explained in the exhibitor manual or the organiser's online portal.

What it means for exhibitors

Plan your passes early. Anyone standing at the entrance on the morning of the show without a valid pass loses time that is missing on the stand (booth). Make a list of who works on which days and personalise the passes in good time.

Include external helpers too: hosts, technicians, interpreters, photographers and videographers. Depending on the fair they need an exhibitor pass, a service provider pass or registration by you as the exhibitor. Clarify this at least a week before the show so that nothing gets stuck on day one.

Passes are personal. Passing them on to others is prohibited at many fairs, and checks at the entrance are common. Keep one or two spare passes in case someone has to step in at short notice.

In practice

We clarify access for our team with you in advance. Depending on the fair, exhibitor passes from your allocation are enough, or a service provider pass is required. For this we need the names of the crew, which we send you in good time.
