Trade fair organiser: who sets the rules of a show

The trade fair organiser is the company that plans, markets and runs a show. It allocates stand space and sets the rules for exhibitors.

Definition

In Germany many trade fair companies both operate the venue and organise their own shows, for example Messe Düsseldorf, Koelnmesse, Messe Frankfurt, Deutsche Messe in Hannover or Messe München. There are also private organisers and associations that rent halls and hold their shows there, known as guest events. For exhibitors this makes a difference, because rules and contacts then come from the guest organiser rather than the venue company.

The organiser decides dates, concept, target audience and hall layout, allocates stand space, organises visitor marketing and the supporting programme, and sets out in the terms of participation and the exhibitor manual what exhibitors may and must do.

What it means for exhibitors

For exhibitors the organiser is the most important contractual partner around the show. It handles registration, stand allocation, exhibitor passes, technical guidelines, deadlines for build-up and dismantling, and rules on noise, music, advertising in the aisles and photography and filming.

When it comes to photo and video, the documents are worth reading. Some organisers require external photographers and videographers to be registered as service providers or to wear an exhibitor pass. There are often rules on tripods in the aisles, drones, photographing other stands or filming on stages. The rules differ from show to show and can change. So settle in good time what applies, and pass the necessary information and passes on to your photo and video crew for your stand (booth).

In practice

On show day the organiser's work shows in entrance checks, hall hours and safety rules. A photo and video crew has to know these requirements to work on the stand on time and without problems.
