Utrecht is one of the closest foreign venues to our office in Essen. We travel from Essen or Düsseldorf by car, about two hours along the A3 and A12 with the full kit in the boot, or on the ICE from Düsseldorf and Cologne, which stops at Utrecht Centraal on its way to Amsterdam. Jaarbeurs sits directly on the west side of that station.
Travel and hotel are quoted once per trip and shared between the exhibitors we serve in the same show week: two companies at VSK, or three at Vakbeurs Energie, split the same amount. Over a two- or three-day booking the share shrinks to a small part of the total, while the packages stay at the fixed euro prices we charge in Düsseldorf or Cologne, €990, €1,490 and €1,990 plus VAT. Dutch and other EU companies with a VAT ID receive a reverse-charge invoice; companies from outside the EU pay no German VAT either. On the stand we work in English.
Jaarbeurs is the largest exhibition and conference centre in the Netherlands outside Amsterdam and the best connected: Utrecht Centraal is the busiest railway hub in the country, and the halls start at Jaarbeursplein outside its western exit. Schiphol Airport is half an hour away by train.
The programme leans towards Dutch and Benelux industry. VSK, the fair for heating, sanitary, ventilation and climate technology, runs in February of even years, and Bouwbeurs, the Dutch construction fair, in February of odd years. Vakbeurs Energie in October brings the energy transition sector to Utrecht, Techni-Show and ESEF cover metalworking in March of even years, Zorg & ICT gathers healthcare IT in spring and Vakantiebeurs in January is the public travel fair.
On the first morning we are in the hall before opening and photograph the stand while it is still empty: architecture, lighting, signage, product displays and the details your stand builder is proud of. Once the doors open the attention moves to your team in genuine conversations, live demonstrations and busy aisles. Nobody has to stop a meeting for them.
A second or third day adds on-stand interviews with your management, Dutch distributors or customers, product close-ups in the quieter early hours and the after-show reception if you host one. Vertical clips can go out while the show runs; the finished films follow within 24 hours after the show day ends, edited by our remote team while you are still at Jaarbeurs.

Four to six weeks ahead is comfortable for VSK, Bouwbeurs or Vakbeurs Energie. Short-notice requests are realistic because Utrecht is only two hours from Essen.
Our working languages are English, German, Arabic and Persian. Briefing, direction and delivery run in English, which is how Dutch venue staff and exhibitors work with foreign crews.
As an exhibitor you may photograph and film your own stand. We stay within your stand and the aisle in front of it and register in advance where an organiser requires a supplier or press pass.
Selected material is uploaded during the day and our editing team in Germany cuts remotely while you are still on the stand. Photos and video arrive as a private download link within 24 hours after the show day ends.
