Stand staff: the team that runs your stand

Stand staff are all the people who work on your stand during the fair: sales, specialists, management and support staff such as reception, interpreters or service staff.

Definition

Stand staff include your own employees from sales, engineering, product management and management, often joined by agency staff, for example for reception, hospitality or interpreting. They all need an exhibitor pass and should know the fair's rules.

How many people a stand needs depends on its size, the opening hours, the number of appointments and the type of visitors. At fairs lasting several days, staff usually work in shifts, so that breaks are possible and the team stays focused until the last day. For every show day it should be clear who opens the stand and who closes it in the evening.

What it means for exhibitors

Your stand staff decide how visitors experience your company. A clear briefing before the show sets out goals, roles, conversation guidelines and the lead capture process. Matching clothing makes the team recognisable, and clear rules on phones, eating and sitting on the stand (booth) shape how you come across. A short daily meeting before opening keeps everyone up to date. Also decide who looks after press and VIP visits.

At international fairs, language skills matter. Plan who speaks which languages and make sure there are enough people to talk to at peak times.

Think about photos and video as well. Your team is the focus of almost every picture. Let everyone know in advance that there will be photography and filming, and clarify who is willing to give an interview. Anyone who does not want to be shown should be able to say so.

In practice

On the show day we often start with the team photo before opening, when everyone is fresh and on the stand. After that we photograph real conversations with visitors without interrupting them.
