Stand party: the evening on your stand

A stand party is an event on your own stand after regular opening hours, usually for customers, partners and team. It combines hospitality, conversation and often music or short speeches.

Definition

Stand parties usually take place in the evening of a show day, right after the halls close. Typical ingredients are drinks and finger food, music, a short welcome, sometimes a product presentation or an award. Guests are customers, dealers, partners and your own team, sometimes neighbouring exhibitors too. The number of guests ranges from a small group to a full stand.

The organiser decides how long you may celebrate on the stand after closing, what noise level is allowed and whether the event has to be registered. In Germany, music may also require a GEMA registration.

What it means for exhibitors

A stand party is a chance to build relationships outside the sales conversation. Many guests are glad to come once the show day is over and there is time for personal conversation. Invite selectively and confirm acceptances so that you can plan quantities and staff. A short speech at the start gives the evening a clear structure.

Clarify times, registration, music and security with the organiser early, and quantities and schedule with the caterer. Remember that your team will be back on the stand (booth) the next morning. A photo spot with a logo wall gives guests a reason for pictures together, and valuables and exhibits should be secured.

The party has an effect beyond the evening if you document it. Pictures of a full stand, laughing guests and a short speech work for thank-you posts, newsletters and the invitation to the next show.

In practice

In the evening the light in the hall is often different from the daytime, and the mood changes quickly. So we photograph early in the evening, when guests arrive and groups form, capture the speech and the toast and film short scenes for a clip. People with a glass in hand, yes; unflattering moments, no.
