A fixed price is a total price agreed in advance for a clearly described service, regardless of how much effort the provider actually puts in.
With a fixed price, also called a flat fee, client and provider agree before the job on an amount for a defined result. For photo and video this typically covers time on site, number of photos, length and number of videos, delivery time, revision rounds and usage rights.
The alternative is billing by effort, for example by the hour or by day rate, where editing, post-production and extras are charged separately. Which is cheaper depends on how precisely the scope is known in advance. At trade fairs that is usually easy, because date, duration and formats are known early.
For exhibitors a fixed price means planning certainty. The show budget is often set months ahead, and extra charges after the show are unwelcome. With a fixed price you know what you get and what it costs, and you can compare quotes from different providers directly.
Compare the content, not just the amount. How many hours is the crew on your stand (booth), how many edited photos are delivered, which videos are included, how fast does the material arrive, how many revision rounds are there and are the usage rights unlimited. Also check whether travel and VAT are included. A low price without editing or with restricted rights can end up costing more than a higher price that covers everything. And clarify what happens if the shoot runs longer.
At Pixer we work with three fixed-price packages, each plus VAT: Basic at €990 with two hours, at least 30 photos, a 30-second video and one vertical clip; Professional at €1,490 with four hours and at least 60 photos; Full Day at €1,990 with eight hours, at least 120 photos, a 90-second film and interviews.
Delivery within 24 hours, two revision rounds and unlimited usage rights are always included. Travel within NRW is included; for other cities we quote travel once per trip in advance, shared between exhibitors at the same show week.
At Pixer, VAT where applicable and, outside NRW, the travel costs quoted in advance. Other costs only arise if you book extras.
We settle that in advance. You can move to a larger package or add an extra such as an interview and 90-second film for €190.
