What does a trade fair photographer cost?

The price of a trade fair photographer depends less on the hourly rate than on what you actually receive. This guide shows what a quote should include, what drives the price and how to compare two offers fairly, including VAT for foreign exhibitors.

How trade fair photographers charge

You will come across three models. Some photographers charge by the hour, some by the half or full day, others work with fixed packages. None of them is cheaper by definition. What matters is whether the price covers the same things: time on your stand (booth), editing, number of photos, delivery time, usage rights and travel.

An hourly quote often looks low because it only covers the time in the hall. Selecting and editing the photos, travel, parking or a second day are added later. A package tells you in advance what you get and makes the budget predictable. If you are exhibiting in Germany from abroad, predictability usually matters more than the last euro: the budget is approved at head office months before the show, and a surprise invoice is hard to explain afterwards.

So when a quote arrives, do not start with the price. Start with the result: how many edited photos, by when, in which formats, with which rights? Only when those questions are answered can you compare numbers.

What drives the price

Seven factors decide almost every quote:

  1. Time on the stand. Two hours cover one focus, such as the time before doors open or the busy midday period. A full show day shows the stand empty, busy and in the evening.
  2. Number and editing of images. Selection, colour correction and straightening take time at the computer, often about as much as the shoot itself.
  3. Delivery time. Photos on the same evening mean images are selected and edited while the show is still running. If you can wait two weeks, you do not pay for that effort, but the images arrive when the conversations from the stand have gone cold.
  4. Video. A highlight video or vertical clips need editing, licensed music and subtitles. See What does a trade fair video cost?
  5. Usage rights. Some quotes only cover your website and social media. Print, advertising or sharing with distributors then cost extra.
  6. Location and travel. A show close to the photographer’s base is priced differently from a show at the other end of the country with a hotel night.
  7. Number of days. Several show days can be planned differently from a single visit. How that adds up is explained in A photographer for several show days.

A concrete example: fixed packages

The right package depends on your goal. If you mainly need stand photos and one LinkedIn post, two hours are enough. If you want conversations, product demos and your team in different situations, plan four hours. A full day pays off when you want interviews, a longer film and material for the rest of the year.

Costs that are often missing from a quote

Most surprises do not come from the fee itself but from items that only show up on the invoice. Check every quote for these points:

Comparing quotes when you fly in from abroad

Put two or three quotes side by side and bring them into the same structure: hours on the stand, number of edited photos, video yes or no, delivery time, rights, travel and payment terms. Only then does it become clear which one is really cheaper.

A useful yardstick is the price per usable result. Eighty photos of which you use ten cost more than thirty that all work. That is why the brief matters: if you say beforehand which shots you need, you get less waste. Our guide on how to brief a trade fair photographer shows how.

If your company is based outside Germany, check three more points. First, VAT: non-EU companies are invoiced without German VAT, EU companies under reverse charge with a valid VAT ID. Second, language: the photographer should brief and work with your team in English, without a translator in between. Third, timing: the photos should arrive before you fly home, so your team can post while the show is still news. Our payment terms are simple: 50 % on booking, 50 % on the show day.

Where not to save

You can save on hours if your brief is good, and on travel if you book early and the trip can be shared with other exhibitors. Do not save on three things:

  1. Editing: unedited photos are hard to publish, and the extra work ends up with your marketing team.
  2. Delivery time: photos that arrive after show week miss the moment when contacts and customers still remember your stand.
  3. Usage rights: limited rights lead to renegotiation later, when your sales team needs an image for a catalogue or a distributor wants to show it on their website.

What does a trade fair photographer cost for two hours?

Is travel included?

Within North Rhine-Westphalia, yes: Düsseldorf, Essen, Cologne and Dortmund. For other cities, travel is stated in the quote upfront, once per trip and shared between exhibitors of the same show week.

What does multi-camera stage recording cost?

No. Non-EU companies are invoiced without German VAT, and EU companies receive a reverse-charge invoice with their VAT ID. Payment is 50 % on booking and 50 % on the show day.

Can we use the photos in print and advertising?

Yes. Usage rights are unlimited, so you can use the photos on every channel, in ads and catalogues and with your distributors.
