Almost every exhibitor wants a team photo from the stand, and a surprising number fly home without one. The reason is rarely the photographer. It is organisation: the team works in shifts, the managing director arrives on day two, sales are in meetings, and on the last afternoon everyone is tired and the first people are already heading to the airport.
Yet the team photo is one of the most versatile images of the show. It goes out on LinkedIn on day one, lands in the internal newsletter, on the careers page, in decks and in the show report for head office. It shows who stands behind the brand, and it is the image employees share most often themselves. For companies exhibiting abroad, it is also the picture colleagues at home look for first.
Treat the team photo like a programme slot, with a time, a place and one person in charge, and you will get it. Here is how that works in practice.
One moment works almost every time: the first morning of the show, before doors open. Everyone is fresh, clothes are neat, the stand is tidy and nobody is in a customer meeting. Ten to fifteen minutes are enough if everyone is on time.

The time exhibitors may enter the hall in the morning is set by the organiser. Check the exhibitor manual and leave some buffer between the photo and opening, so one late arrival does not hold up the whole group. If your team is staying at different hotels, set the meeting time a little earlier than you think you need.
