When the hall closes, many stands turn into a meeting point with drinks and music. The pictures from that hour can show your brand at its most human, or embarrass your guests. This guide covers timing, light, consent and music rights.

Stand parties, happy hours and a drink together after closing are part of German trade fair culture. After a long day, customers, partners and neighbouring exhibitors drop by your stand (booth). For your channels, this hour delivers what the show day rarely does: a full stand, relaxed faces and a visible community around your brand. More on how people meet at German shows in German trade fair culture.
The party also carries a risk the show day does not. Guests are off duty, glasses are full, and a picture that looks fun at 19:00 can look different in a customer's LinkedIn feed the next morning. The goal is not to document the party completely, but to capture the first, best hour and then step back.
Parties on the stand are subject to the organiser's rules, and these differ from show to show. Look in the exhibitor manual or ask the organiser:
Music has a second dimension: playing it at an event and using it in a video are two separate licensing questions. If the party music is audible in your recap, the video can be muted or blocked on social media. More in Music in trade fair videos. The simplest solution is to replace the sound with licensed music in the edit and keep only short moments of original sound, such as a toast or applause.
Brief your photographer on who matters most: key customers, partners you want to be seen with, and your own team. At a party, the most photogenic guests are not always the most important ones.
After closing, hall lighting can be dimmed while stand lights stay on. That creates contrast: a bright stand, a dark aisle, and faces somewhere in between. Check whether your stand lighting can be set warmer without going dark, and keep the logo wall lit. With bounced flash or a small LED light, faces stay natural. Coloured party lights look good in video, but strong reds and blues distort skin tones in photos, so plan a few minutes with normal light for the group photos.
For video, the party is a good source of vertical clips: drinks being poured, a toast, laughter, the DJ, the full stand in time-lapse. Short slow-motion shots work well because they calm hectic movement. A 30-second recap can go online the next morning together with the highlights of the day.
At a party, people behave differently than in a business meeting, and that is fine. The pictures should respect it. What works in practice:
The same care applies to your staff. They have worked all day, and party pictures should show them at their best. More in Image rights at trade fairs.
Party pictures are most valuable the next morning: a thank-you post to everyone who came, a message with a photo to guests, a story on the stand screen. With Pixer, a first selection usually arrives the same evening or the next morning, and full delivery follows within 24 hours after the event ends. Usage rights are unlimited, so you may pass pictures on to guests and partners.
If the party follows a show day we already cover, it can be built into the schedule. Tell us the start time and the programme when you book. Packages are on Trade fair photographer Germany.
Stand, team and guests look best early. Plan the key shots before the party peaks.
Closing times, music, catering and photography after hours are covered in the exhibitor manual.
Party music in a video can get it muted or blocked on social media. Replace the sound in the edit.
Keep the logo wall lit and allow a few minutes of normal light for group photos.
A sign at the entrance and a sticker for guests who prefer not to be photographed.
First selection by the next morning, full delivery within 24 hours.
Before the first guests, ideally while the hall is still open. That leaves time for the empty, prepared stand and a team photo before the party starts.
About one to two hours is usually enough: arrival, toast, full stand and a few conversations. After that, the pictures get worse and guests want to celebrate without a camera.
That depends on the organiser's rules and on music licensing for events. Check the exhibitor manual and ask the organiser before you book a DJ.
Only if it is licensed for that use. It is simpler to use licensed music in the edit and add short moments of original sound, such as applause or a toast.
Offer a visible opt-out, such as a sticker, and brief the photographer. Images in which those guests are recognisable do not go into the selection.
