Last-minute trade fair photographer: what is still possible

The photographer you booked cancels, a colleague's visa did not come through, or the budget was only approved in show week. A lot can still be arranged at short notice, as long as the key details arrive quickly. Here is what works and what does not.

What is realistic at short notice

A booking a few days before the show is nothing unusual for an experienced trade fair photographer. Even once the show is running, something may still be possible, especially at venues in NRW. What matters is less how much notice you give than how fast the basic details arrive.

This works well at short notice:

All three packages can be booked at short notice: Trade Fair Basic at €990 for two hours, Trade Fair Professional at €1,490 for four hours and Trade Fair Full Day at €1,990 for eight hours, all excluding VAT. Which one fits depends on what happens on your stand in the time that is left.

Three typical situations

What to put in your first message

With a last-minute request, every hour counts. Send everything in one message, fastest by WhatsApp:

  1. Show, hall and stand number
  2. Date and preferred time window, for example “Wednesday 10:00 to 14:00”
  3. Scope: two, four or eight hours, photos only or video too
  4. Contact on the stand with a mobile number
  5. Company name and country for the quote
  6. Three must-have shots, for example the launch, the stand view, the team

Pass, payment, travel: the three bottlenecks

Pass

The photographer needs access to the hall, usually with an exhibitor or service pass that you order through the organiser's exhibitor portal. Deadlines and collection differ from organiser to organiser, and at short notice the only route may be the exhibitor service desk on site. Check the exhibitor manual or read photo permission at trade fairs. Sort out the pass in parallel with the booking, not afterwards.

Payment

The booking is confirmed in writing; payment is by invoice or online by credit card. If an international transfer takes several banking days, raise the payment route in your first message, so the date does not depend on the transfer. Companies based outside the EU are invoiced without German VAT; EU companies with a valid VAT ID receive a reverse charge invoice.

Travel

Pixer's office is right at Messe Essen, 30 seconds from the entrance. For shows in Essen, Düsseldorf, Cologne and Dortmund, travel is included and the same morning is feasible. For other cities we quote travel once per trip and share it between exhibitors of the same show week. If we are already at the show that week, an extra slot is easiest to fit in.

What becomes difficult at short notice

Some things need lead time that a last-minute booking does not have. Better to know in advance:

What you still get: a complete set of stand, conversations, team and products, plus video and clips. That covers the usual uses after the show, from your website and LinkedIn to follow-up emails and the report for head office.

The first hour on the stand

A short-notice booking leaves no time for a long briefing call. That makes a structured start all the more important:

  1. Five-minute check: must-have shots, key people, who does not want to be photographed, limits such as prototypes.
  2. Prepare the stand: coffee cups, bags and boxes out of sight, calm content on screens, logo clear.
  3. Stand view first: while it is still quiet.
  4. Team and launch: before customer meetings start.
  5. Conversations and atmosphere: during normal business, without interrupting conversations.

Yes, as long as there is a show day left with activity on your stand. Conversations, team and products can be photographed on any day, stand shots without visitors early in the morning before the doors open.

How does payment work for a short-notice booking?

As always: Payment by invoice or online by credit card. For international transfers, we agree the payment route when you first get in touch.

Which package fits best at short notice?

That depends on what is happening on your stand. For stand photos with a highlight video, Trade Fair Basic is enough; with interviews and a 90-second film, Trade Fair Full Day is the right choice.

How fast do the pictures arrive?

The first pictures usually the same day, full delivery within 24 hours after the show ends.
