A photographer for several show days: how it adds up

A show runs for several days, and the budget rarely covers every one of them in full. This guide shows which days are worth photo and video coverage, how to combine packages and what a multi-day quote should contain.

Not every show day is worth the same

If you book a photographer for the whole show, you also pay for the hours when little happens on your stand (booth). If you book a single day, you may miss the very moment that made the show worthwhile: the product launch, the visit of your most important customer, the CEO's talk on stage. So the real question is not how many days to book, but which ones.

Many trade fairs run for several days, from MEDICA in Düsseldorf to HANNOVER MESSE. For photo and video, the days are quite different:

If you are flying in, set your stand programme first and plan the booking around it. Choosing days by occasion gives you more usable material for the same budget.

Three ways to cover a multi-day show

Three patterns work well in practice. Which one fits depends on your goals and the show programme.

1. One strong day

A full show day, usually the first. This is enough if you want your stand, team, products and conversations documented once, completely, and nothing special happens later in the week. The Trade Fair Full Day package at €1,990 covers eight hours, at least 120 edited images, a 30-second highlight video and a 90-second film, on-stand interviews and three vertical clips.

2. A full first day plus short follow-up blocks

Day one in full, then two or four hours on the following days for what only happens then: the customer visit on Wednesday, the talk on Thursday, new groups of visitors. The follow-up blocks are based on the scope of Trade Fair Basic (two hours) and Trade Fair Professional (four hours). From the second day, a multi-day rate on request applies.

3. Coverage every day

Worth it if you post daily during the show, run a busy stage programme or use the show for a larger film project. Each day then needs its own plan, so the shots do not repeat and you do not end up with the same stand view three times.

What a multi-day quote should show

A quote for several show days should make clear, at a glance, what you get on which day and what it costs. Check these points:

With Pixer, travel within NRW, meaning Düsseldorf, Essen, Cologne and Dortmund, is included. For other German cities we quote travel once per trip and share it between exhibitors of the same show week. For shows elsewhere in Europe and in the Gulf the same applies to travel and accommodation. The more days you book, the less that line weighs per day.

Payment works as for a single day: by invoice or online by credit card. Companies based outside the EU are invoiced without German VAT, EU companies under reverse charge with their VAT ID.

Example: four show days, one full day, two short blocks

Say you exhibit at a four-day show. You launch a product on day one, your CEO speaks on stage on day two, and an important distributor visits the stand on day three. A sensible plan could look like this:

  1. Day 1, full day: stand view before the doors open, the launch, conversations, team photo, interviews with the CEO and product management, highlight video and film.
  2. Day 2, two hours: the talk on stage with the audience, then conversations on the stand with new visitors.
  3. Day 3, two to four hours: the distributor on the stand, a joint photo, a short interview, vertical clips for social media.
  4. Day 4: no booking. The last day rarely brings new shots.

Delivery and coordination across several days

Over several days, the question is when you need which pictures. If you want to post during the show, or if head office in another time zone is waiting, you need a small selection every evening. If the pictures are mainly for your website, sales team and press work after the show, one complete delivery is enough. With us, the first pictures usually arrive the same day, and full delivery follows within 24 hours after the show ends.

Plan five minutes every evening for a short check: what was missing today, who is coming tomorrow, has an appointment moved? Several days are only worth more than one if every day adds something new.

Do I need to book the photographer for every show day?

What does a second or third show day cost?

The first day is charged at the package price: €990, €1,490 or €1,990 excluding VAT. Further days are charged at a multi-day rate on request, depending on hours and scope.

Which show day is best for pictures?

Usually the first: the stand is clean, the team is rested, and launches and press often fall on that day. Stand shots without visitors work best before the doors open.

Is travel charged again for every day?

Not with us. Travel is included within NRW. For other cities we quote it once per trip and share it between exhibitors of the same show week.

Do I only get the pictures after the last day?

No. The first pictures usually arrive the same day, so you can post during the show. Full delivery follows within 24 hours after the show ends.

Can we change the plan during the show?

Time slots within a booked day can usually be adjusted. If a block should move to another day, message us on WhatsApp and we will sort it out quickly.
