A shot list is a list of every shot and scene to be captured in a photo or video shoot, with priority, timing and the people involved.
A shot list sets out what is to be photographed or filmed. It names each shot individually, for example wide shot of the empty stand, team in front of the brand wall, close-up of product X, conversation with a visitor, talk at 2 pm, interview with the managing director.
A good shot list gives each item a priority, a planned time, a location on the stand (booth) and the people involved. That makes it both a checklist and a schedule for the show day, and the basis for briefing the photographer.
A shot list makes sure nothing is missing at the end. A lot happens at the same time at a trade fair, and important moments are often brief: a key customer's visit, a talk, the team photo before the first colleagues fly home. If you note these appointments in advance, you will not miss them.
Start with the question of what you will need the pictures for over the next twelve months: LinkedIn, website, sales, press, a report to head office. The shots follow from that. Mark must-have shots and those that happen only if the chance arises. Name the people who should appear and decide who on the stand is the crew's contact. Keep the list short enough to stay realistic in the time booked. Two hours are not enough for fifty must-have shots.
On show day the crew works through the shot list in a sensible order: empty stand shots before the doors open, then team and products, conversations and atmosphere at peak hours, fixed appointments by the clock. Anything that moves gets rescheduled.
