Dismantling is the phase after a trade fair closes, when exhibitors and stand builders take down their stands, pack exhibits and clear the space. It usually starts right after the last show day ends and is strictly regulated.
Dismantling starts after the official close of the show. Exhibits are packed, graphics removed, walls and ceilings taken apart and transported away. At the end, the space has to be handed back in the condition in which it was received.
When dismantling may start and by when it must be complete is set by the organiser in the exhibitor manual. Starting to dismantle before the show closes is often prohibited. In the first hours after closing the halls are very busy, and organisers regularly remind exhibitors not to leave valuable items on the stand (booth) unattended.
Dismantling is not a good time to get something done quickly. As soon as the neighbours start taking down walls, pallets roll through the aisles and lights go off, the show atmosphere is over. Plan all shots, team photos and customer conversations well before the last afternoon.
Organise dismantling as carefully as build-up. Decide who stays on site, which exhibits go back, what is disposed of and when the forwarder arrives. Valuable equipment, laptops and samples should never be left unattended on the stand.
For follow-up, dismantling is a transition: the leads have been captured, the photos have ideally already been delivered, and the first follow-up emails can go out the next day. Also note down what should run differently next time, while the details are still fresh.
For photographers and videographers the work usually ends when the show closes. We therefore plan team group photos, closing shots and the last video scenes for the afternoon of the final day, while the stand is still complete and visitors are around.
