12 ways to use your trade fair photos after the show

After the show, pictures often end up in a folder and stay there. This guide shows twelve ways to put trade fair photos to work in marketing, sales, press and recruiting, at home and abroad, and what to clear first.

First: select, name, store

The first step is unglamorous but decisive. A download folder on one person's laptop helps nobody, least of all once the team has flown home and the next project has started. Before photos can be used, they have to be findable. Take an hour right after delivery:

  1. Put the best images in a separate folder, sorted by motif: stand, team, products, conversations, stage.
  2. Name files by show, year and motif, for example show-2026-product-detail-01.
  3. Add a short note on who is in the picture and whether consent was given.
  4. Store everything where marketing, sales, HR and, if relevant, your subsidiaries abroad can reach it.

Online: four ways for your own channels

  1. LinkedIn over several weeks: not every picture the day after the show, but one motif a week with its own story, such as a conversation, a product detail or a portrait.   2. Website: a news article about the show, updated team and about pages, product pages with pictures from the demonstration. Real situations often feel more credible there than studio shots alone.
  3. Newsletter: a recap with three to five pictures and a link to the trade fair film, combined with an invitation to talk or a concrete offer.
  4. Google Business Profile: recent pictures of the team and products show people searching for your company that it is active and who works there. This matters most for your European office or showroom.

Sales and partners: four ways

  1. Follow-up after the show: a photo of the stand (booth) or of the conversation in the first email to a contact reminds them of the meeting. People in the picture only with their consent.
  2. Decks and quotes: product pictures from the stand show exhibits in a real setting and in use, often more clearly than renderings or cut-outs.
  3. A distributor kit: a small set of approved pictures that partners may use in their countries, with captions in their language and a short note on permitted use. For exhibitors with agents in several markets, this is often one of the most valuable uses.
  4. Press: one to three high-resolution pictures with the press release, captioned and, if you wish, credited to the photographer. Editors need a few clear motifs, not a whole gallery. Trade media in your home market count as much as German titles.

Company and next show: four ways

  1. Recruiting: team photos and pictures from everyday stand life on your careers page and in job ads show how your team really works and presents itself.
  2. Internal communication: intranet, staff magazine, annual report. Colleagues who were not there see what happened on the stand.
  3. Planning the next show: stand photos show your stand builder and team what worked and what did not, from sight lines to lighting. Wide shots also reveal where visitors bunched up and which corners stayed empty.
  4. Invitations and advertising: pictures of this year's stand are an obvious motif for next year's invitation, in mailings, ads and print.

Not every company needs all twelve. Pick the four or five that fit your goals and plan the pictures for them in the shot list.

Clear the rights before you pass pictures on

A word on editing

Send full-resolution files to press and printers; scale them down for web and social media. Keep the colour look of one show consistent, even when pictures appear on different channels and in different countries. App filters added later quickly turn a consistent series into a patchwork.

How many pictures do I need for these twelve uses?

Fewer than you might think. Twenty to thirty good pictures cover most uses, as long as stand, team, products and conversations are all represented.

Can I pass trade fair photos on to distributors?

Yes, if your usage rights allow it and the people shown have consented. At Pixer, usage rights are unlimited. Give partners a fixed selection, not the whole folder.

Can I use trade fair photos in paid ads?

Yes, if rights and consent cover it. In ads, pay particular attention to identifiable people and other brands' logos in the picture.

How long do trade fair photos stay current?
