Trade fair photography: pictures of your company at the show

Trade fair photography is professional photography of an exhibitor's presence at a show: stand, team, conversations with visitors, products, talks and atmosphere, for marketing, sales and press.

Definition

Trade fair photography covers every picture an exhibitor commissions during a show. Typical shots are the stand empty and busy, real conversations with visitors, product details, the stand team, talks on stage, visits from partners and the mood in the hall.

It differs from general event photography because of the conditions: mixed hall lighting, narrow aisles, sales talks in progress, fixed opening hours and organiser rules. A trade fair photographer has to work discreetly and deliver many different shots in a short time, without getting in the way of your stand (booth) staff.

What it means for exhibitors

A trade fair costs a lot and lasts only a few days. Good photos stretch its effect: they show on LinkedIn that your stand was busy, supply material for the website and newsletter, and give sales pictures for follow-ups with the people they met. For exhibitors flying in from abroad they are often also the proof that head office wants to see.

Before booking, settle what the pictures are for, when the shoot takes place, who should appear and when the images will be delivered. A short briefing helps as well: a contact person on the stand, key appointments and the people who must appear, such as management or important customers. Check the usage rights: you should be able to use the photos without limits on time or territory. And look in the exhibitor manual to see whether the photographer needs an exhibitor pass or has to be registered.

In practice

On show day a trade fair photographer works to a plan: empty stand shots early, then team and products, conversations and atmosphere at peak hours, and fixed appointments such as talks or visits in between. At Pixer we combine photography with video on request, so one crew covers both.

Common questions

How many photos does an exhibitor need?

That depends on how you will use them. For social media, website and sales, 30 to 60 well-chosen images are usually worth more than hundreds of similar frames.

Will the photographer disturb conversations on the stand?

An experienced trade fair photographer works discreetly, usually without direct flash, and waits until a conversation looks natural.
