Visitor voucher code: the ticket you give your customers

A visitor voucher code is a code that exhibitors receive from the organiser and pass on to customers. Visitors use it to get a free or discounted ticket online.

Definition

Organisers provide exhibitors with codes or personalised invitation links through the exhibitor portal. The visitor redeems the code in the fair's ticket shop and receives a digital ticket. Depending on the fair, the offer is also called a voucher, e-ticket voucher or customer invitation. The code is only valid for that particular fair and can be shared by email, newsletter or in your signature.

Billing is handled differently. Often exhibitors only pay for codes that are actually redeemed, and at some fairs a quota is included in the stand package. The conditions are in the terms of participation or in the exhibitor portal.

What it means for exhibitors

A voucher code is one of the simplest ways to bring customers to your stand (booth) in a targeted way. Anyone who is given a ticket feels invited, and you can see how many codes were redeemed. Whether you also learn who registered depends on the organiser and on data protection rules.

Send the code early and with all the key details: fair, dates, hall, stand number and a link for customers to book a meeting with you. A short note on what you will be showing gives people a reason to visit.

Invitations work better with pictures. A photo of your stand from the last show or a short clip conveys what visitors can expect. After the show, the number of redeemed codes shows you how well the invitations worked.

In practice

For the invitation to the next show, pictures and clips from your last appearance work well: the stand with visitors, the team, a product in detail or a vertical clip with a short invitation. With unlimited usage rights you can use the material in emails, newsletters and on social media.

You usually receive the first photos on the same day and the complete material within 24 hours after the show ends. Plan the next invitation on the show day itself. A short statement from your management can be filmed right there. The guide Trade fair newsletter shows how to use show material in your newsletter.

FAQ

Common questions

Does a voucher code cost the exhibitor anything?

Each fair decides. Often only redeemed codes are billed, and sometimes a quota is included in the stand package.

When should I send out voucher codes?

Early enough for customers to plan their visit, and always with hall, stand number and a meeting link. A reminder shortly before the show also helps.
